PrismHR’s Product Delivery (Engineering) team is recruiting for an administrative assistant, who will support our senior technology leadership, and by extension, a Product Delivery organization approaching 150 staff over 2019. Primary duties involve calendaring for senior engineering leadership, meeting coordination, following up with staff on action items and deliverables, and facilitating training / orientation agendas for new engineering hires and contractors.
This position resides in our Hopkinton, MA headquarters, but involves occasional coordination among remotely residing employees, contractors and vendors.
SPECIFIC DUTIES and RESPONSIBILITIES:
Manage calendaring and communications on behalf of senior engineering leadership, as needed.
Schedule and update meeting requests, sometimes on short notice, as well as ensuring any required logistical details are in place.
Maintain department organization charts and related materials; ensure all engineering staff are proactively scheduled in 1-on-1 and skip-level meetings per a predetermined cadence.
Create, edit and organize documents, spreadsheets, presentations, department policies and orientation material.
Coordinate and create training agendas for new engineering hires and contractors.
Assist engineering leadership in following up on action items and key deliverables.
Other related duties and side projects, based on experience and as time permits.
SKILLS and EXPERIENCE:
Prior experience in an administrative function at a high tech company, ideally with 1 or more years supporting Engineering leadership and/or a technology department.
Strong communication skills. Written communications are mistake-free.
Proficiency with the following Google office applications in a business setting: Gmail, Calendar, Drive, Docs, Sheets and Slides. Microsoft Office skills are a plus.
Excellent “business user” computer skills (MS Windows or Mac based).
Experience with process flow charting, organization charting and/or project scheduling software is a plus.
Exceptional organizational and time management skills.
High attention to detail and follow-through.
Multi-tasks well, and is flexible enough to deal with planned, short notice and unplanned needs with a great attitude.
Highly proactive; doesn’t wait for work to be assigned.
Enjoys working in a fast-paced environment.
College degree preferred.
